This is what you achieve...

  • General secretarial and administrative tasks: Correspondence / mail and e-mail processing; appointment and travel planning, travel organisation and booking (also for the team) as well as travel expense accounting; visitor reception & guest support 
  • Preparing for and following up on meetings and attending meetings if necessary, including taking minutes and following up on appointments 
  • Preparation of documents, presentations and papers for internal and external partners 
  • Preparation of analyses and decision papers 
  • Support in operational, conceptual and planning tasks § Filing and document management; telephone calls 
  • Various administrative tasks 
  • Active teamwork with other assistants and the reception area 
  • Covering for other team assistants and the central reception desk 
  • Support with project time recording and administration of Ref-IDs 
  • Support in maintaining the planning organisation chart 
  • Supporting onboarding and offboarding processes 
  • Creating purchase requisitions, also for the R&D team 
  • Invoice checks and approvals 
  • Coordinating office space planning and managing the layout plan 
  • Interface with facility management 
  • Translation work

This is what you bring...

  • Successfully completed commercial training or relevant professional experience of more than ten years
  • At least 5-7 years in the field of assistance (ideally professional experience in a comparable position, preferably in the metal and electrical industry in a medium-sized production environment)
  • Specific knowledge required to be defined individually by department and position 
  • Very good MS Office skills
  • A high degree of independence, resilience, flexibility and commitment 
  • Structured and meticulous working style 
  • Very good communication skills 
  • High level of reliability 
  • Ability to work in a team
  • Ability to grasp things quickly 
  • Stamina 
  • Willingness to take on responsibility and actively help shape processes
